2011 Quilt Entry Rules - Smithtown Stitchers, Inc.

1.  All Entrants must be Guild Members in good standing.  Quilts must be made in whole or part by the member submitting
the entry.  Entries made in part must be in the Group or Professionally Quilted category.
2.  All Registrations can be submitted to the Registration Chairs during the January 2011 Guild Meeting, or Postmarked by
January 31, 2011, no exceptions.  Your Quilt or Quilted Item does not need to be  completed until the Quilt(s) are to be
dropped off.  Judged items will be taken on a first come, first served basis.  At this time there are no other limitations.
3.  All items must be finished, clean, without pet hair, odor-free, and undamaged to be shown or judged.  The Guild reserves
the right to reject or reclassify any entry.  
4.  Each entry must be submitted in its own pillowcase or cloth bag.  Two identification tags will be mailed to you.  One is to
be pinned to the back, lower right corner of the quilt.  The other label should be pinned to your pillowcase/cloth bag.  This
must be done prior to quilt drop-off.  
5.  Quilt ID Tags (Refer to section 4) will be mailed to you prior to Quilt Drop-Off & Registration.  Please include a SASE with
your Entry Form, so that we can expedite this.  You may use the same SASE for more than one Registration Form.  A four
inch (4”) sleeve must be firmly sewn to the back of each quilt for hanging.  An entry without a sleeve will not be accepted for
the Show.
6.  NO Tied Quilts and NO Quilt-Kit Quilts will be judged.
7.  The Judges are not bound to award ribbons in a specific category if the number or quality of the entries in a category
does not warrant the award.  All categories will be judged.  If your quilt is being judged, you must cover your name/quilt label
on the back with a piece of cloth, so that your name can not be viewed by the Judges.  Please fill in all areas of the
information requested so that your quilt may be judged and displayed properly.  
8.  All Entrants are responsible for the delivery and pick-up of their quilts.  All quilts must hang for the duration of the show,
and will be returned after the show on Sunday.  No quilts will be returned without a receipt.
9.  Every reasonable effort will be made to safely display and protect your quilt between the time of receipt and the time of
pick up.  However, the Smithtown Stitchers, Inc. and the Exhibition venue are not responsible for loss or damage to any
quilt.  You are responsible for insuring your quilt.

SSQG QEXIV Categories are defined as follows:
a)
Appliqué (Sml, Med, Lg) - Quilt is more than 50% appliqué
b)
Group Quilt (Any Size) - More than one person participated in the construction of this quilt.  Quilted and/or Pieced by
more than one Quilter; pieced by one individual, and quilted by another, but not a Professional Quilter.  ALL parties must be
members of Smithtown Stitchers, in good standing.
c)
Innovative/Art (Sml, Med, Lg)  – Quilt reflects noticeable deviation from traditional patterns and sets.  This category may
include multiple techniques.
d)
Machine Embroidery (Sml, Med, Lg) – Quilt was made using an embroidery machine or software.
e)
Mixed/Other (Sml, Med, Lg) – This category includes any quilt that does not fit into another category (i.e. Crazy Quilt
Painted, Whole Cloth, Pictorial, Story Quilt, Memory or Photo Quilt), and quilts that are a balanced combination of more than
one technique (i.e. 50% Pieced and 50% Appliquéd)
f)
Pieced (Sml, Med, Lg) – Quilt is more than 50% pieced.
g)
Professionally Quilted (Sml, Med, Lg)  – Hand or Machine Quilted by a Professional, other than yourself, who has
accepted payment for the quilting.  This Category overrides all other categories, regardless of the technique.
h)
Miniature – Each block must be less than 5”.  Each side must be less than 25”.  Note: a small version of a bed-size quilt.
i)
Dolls – Judged.  Please include the measurements on the form.
j)
Quilted Accessories – Includes:  Backpacks, Totes, Purses, Wallets, etc.  Item must be quilted to be judged.  If it is not
quilted, it can still be displayed, but not judged.
k)
Quilted Home Décor – Includes:  Pillows, Table Runners & Toppers, Tree Skirts, Mantle and Tops.  Item must be quilted
to be judged.  If it is not quilted, it can still be displayed, but not judged.
l)
Wearable’s – Includes: Quilted Clothing such as Jackets, Vests, Coats, Capes, Hats, and Ensembles, where one or
more items are quilted.  Item must be “wearable”.   
m)
Overall Colors In General – Please list the main colors in your quilted item.  This is mainly for identification.
n)
Individual Block Size – If your quilt contains blocks, please include the individual block size.  If it does not contain blocks,
leave blank or put N/A (not applicable).
o)
First Quilt – Defines a first quilt that was completed by the Artist.  The Quilt must be less than 2 years old.
p)
Original Design – Item was entirely conceived and designed by the Artist.  It may not be reproduced from a pattern, book,
class, magazine, etc.

Drop-Off Date and Time:  Wednesday  Mar 23, 2011   2:00pm – 8:00pm                                               
*Quilts May Not be Dropped off at any other location or time.

Prior to Quilt Drop-Off: After Quilt Registration has closed, we will be sending you Quilt Tag(s) for your item(s)  Whether your
quilt (doll, accessory, or wearable) is being judged or not-judged, you will receive two Tags for each item.  The Tags will
have a Registration Number on one side and the Title of your entry on the other side.   With a Safety Pin, pin one Tag to the
quilt (doll or wearable), and the other Tag with the same number, to the item’s pillow case (closed corner of the
pillowcase).  Do this prior to Quilt Drop-Off.  Your Receipt(s) for each item will be given to you when you drop off your items at
Quilt Registration, March 23, 2011   2:00pm – 8:00pm
